1. Terms & Conditions

1.1 Introduction

​

These Terms & Conditions apply to all bookings made with Khargai Tour Adventure LLC (“we”, “us”, “our”). By confirming a booking, you agree to these terms in full.

​

Our expeditions take place in remote wilderness regions of Mongolia and may include horseback trekking, overland travel, camping, and outdoor activities in variable natural conditions.

​

1.2 Booking & Payment

​

  • A booking is confirmed upon receipt of a non-refundable deposit (20–30%)

  • The remaining balance must be paid before the deadline stated in your booking confirmation (typically 30–60 days before departure)

  • Failure to complete payment by the due date may result in cancellation without refund of the deposit

​

1.3 Itinerary Changes

​

We reserve the right to modify itineraries due to:

​

  • Weather conditions

  • Safety considerations

  • Local logistics

  • Force majeure events

​

All changes are made with guest safety and expedition quality in mind.

​

1.4 Client Responsibility

​

By joining our expeditions, you agree to:

​

  • Respect local culture, wildlife, and environments

  • Follow safety instructions from guides at all times

  • Be physically fit for adventure travel in remote areas

  • Accept the inherent risks of wilderness expeditions

​

1.5 Liability

​

Adventure travel in remote Mongolia involves inherent risks, including injury, illness, weather conditions, wildlife encounters, and limited medical access.

Khargai Tour Adventure LLC is not liable for injury, loss, damage, or delays unless caused by proven negligence.

1.6 Governing Law

​

These Terms are governed by the laws of Mongolia.

​

2. Refund & Cancellation Policy

​

2.1 Cancellations by Guests

​

All cancellation requests must be made in writing (email accepted).

​

  • 30 days or more before departure: Full refund minus bank or transaction fees

  • 15–29 days before departure: 50% refund of total tour cost

  • Less than 15 days before departure: No refund available

​

2.2 Changes or Rescheduling

​

We will do our best to reschedule your expedition depending on availability.

​

  • Rescheduling is not guaranteed

  • Additional costs may apply depending on the season or logistical changes

​

2.3 Cancellations by Us

​

In rare cases, we may cancel or modify an expedition due to:

​

  • Weather or environmental conditions

  • Safety concerns

  • Operational or logistical issues

  • Force majeure events (natural disasters, political instability, etc.)

​

In such cases, guests will be offered:

​

  • A full refund, or

  • An alternative departure date

​

We are not responsible for additional costs such as international flights, visas, or personal travel arrangements.

​

2.4 No-Shows

​

Failure to arrive on the scheduled departure date will be considered a no-show and is non-refundable.

 

2.5 Refund Processing

​

Approved refunds will be processed within 7–14 business days via the original payment method. Processing times may vary depending on the bank or payment provider.

​

2.6 Travel Insurance (Required Recommendation)

​

We strongly recommend all travelers purchase comprehensive travel insurance covering:

​

  • Medical emergencies and evacuation

  • Trip cancellation or interruption

  • Travel delays

  • Adventure activities, including horseback riding and wilderness travel

​

3. Privacy Policy

​

3.1 Information We Collect

​

We may collect:

​

  • Name, email, phone number, and nationality

  • Booking and travel details

  • Messages sent through forms or email

  • Basic website usage data (cookies, analytics)

3.2 How We Use Information

​

We use your information to:

  • Process bookings and payments

  • Organize expeditions and logistics

  • Communicate travel information and updates

  • Improve our services and website

​

We do not sell or trade personal data.

​

3.3 Data Sharing

​

We may share limited data only when necessary with:

​

  • Local guides and expedition staff

  • Accommodation and transport providers

  • Authorities, when required by law

All partners are required to handle data responsibly.

3.4 Data Security

​

We take reasonable technical and organizational measures to protect your personal data. However, no online system is fully secure.

3.5 Your Rights

​

You may request access, correction, or deletion of your personal data by contacting us.
