Terms & Conditions

1. Introduction

​

These Terms & Conditions apply to all bookings made with Khargai Tour Adventure LLC (“we”, “us”, “our”). By confirming a booking, you agree to be bound by these terms.

​

Our expeditions involve travel in remote wilderness areas of Mongolia, including horseback trekking, overland driving, and camping in natural environments.

​

2. Booking & Payment

​

  • A booking is confirmed upon receipt of a non-refundable deposit (20–30%), depending on the expedition.

  • The remaining balance must be paid no later than the deadline stated in your booking confirmation (typically 30–60 days before departure).

  • If full payment is not received by the due date, we reserve the right to cancel the booking without a refund of the deposit.

3. Cancellations by the Client

​

If you cancel your booking, the following conditions apply:

  • 90+ days before departure: Partial refund minus administrative fees (if applicable)

  • 60–89 days before departure: Deposit is non-refundable

  • Less than 60 days before departure: No refund available

​

No refunds are provided for unused services once the expedition has begun.

​

4. Cancellations or Changes by Us

​

In rare cases, we may need to alter or cancel an expedition due to:

  • Weather conditions

  • Safety concerns

  • Political or regional restrictions

  • Force majeure events (natural disasters, pandemics, etc.)

In such cases, we will offer:

  • An alternative itinerary or departure date, or

  • A partial or full refund, depending on the circumstances

We are not responsible for additional costs such as international flights, visas, or personal travel arrangements.

​

5. Travel Insurance (Mandatory)

​

All participants must have valid travel insurance covering:

  • Medical emergencies

  • Emergency evacuation

  • Accidents during horse riding or adventure activities

  • Trip cancellation and interruption

​

Proof of insurance may be requested before departure.

​

6. Physical Fitness & Participation

​

Our expeditions take place in remote environments and may involve:

​

  • Horseback riding for several hours per day

  • Off-road travel over long distances

  • Camping in basic wilderness conditions

​

By booking, you confirm that:

​

  • You are physically fit to participate

  • You understand the nature of adventure travel

  • You accept the risks associated with remote expeditions

​

7. Risks & Liability

​

Participants acknowledge that adventure travel in remote regions involves inherent risks, including but not limited to:

​

  • Injury or illness

  • Weather-related hazards

  • Transportation delays or breakdowns

  • Wildlife encounters

  • Limited access to medical facilities

​

Khargai Tour Adventure LLC, its guides, and partners are not liable for injury, loss, damage, or delays unless caused by proven negligence.

​

8. Itinerary Changes

​

Expedition routes and schedules may change due to:

​

  • Weather conditions

  • Road and terrain accessibility

  • Local cultural or environmental considerations

  • Safety requirements

​

We reserve the right to modify itineraries to ensure safety and quality of experience.

​

9. Accommodation & Services

​

Accommodation may include hotels, ger camps, and expedition tents depending on the itinerary.

​

Service standards in remote areas may differ from urban or international hotel standards.

​

10. Client Responsibilities

​

Participants agree to:

  • Respect local culture, customs, and communities

  • Follow instructions from guides at all times

  • Avoid harmful behavior toward wildlife or the environment

  • Travel responsibly and sustainably

​

11. Health & Medical Conditions

​

You must inform us in advance of any medical conditions, allergies, or dietary requirements that may affect your participation.

We reserve the right to refuse participation if we believe a client may be at risk during the expedition.

​

12. Force Majeure

​

We are not liable for failure to perform obligations due to events beyond our control, including but not limited to:

​

  • Natural disasters

  • Extreme weather

  • Political instability

  • Border closures

  • Epidemics or pandemics

​

13. Use of Images

​

We may take photographs or videos during expeditions for promotional purposes.

If you do not wish to appear in such materials, please notify us in writing before departure.

​

14. Governing Law

​

These Terms & Conditions are governed by the laws of Mongolia. Any disputes shall be subject to the jurisdiction of Mongolian courts.
